HandySource Introduces Corporate Hierarchy Functionality to Multi-housing Executives

HANDYSOURCE INTRODUCES CORPORATE HIERARCHY FUNCTIONALITY TO MULTI-HOUSING EXECUTIVES

BRADENTON, Fla., June 28, 2002 – At the National Apartment Association Education Conference and Exposition in Orlando, HandySource introduced its new management feature – Corporate Hierarchy. The new feature offers an effective way for multi-housing corporate officers to manage and control costs for their entire property portfolio over the Internet through HandySource.com.

Corporate Hierarchy gives the multi-housing executive new tools to oversee the purchase of maintenance, repair and operating (MRO) supplies. Specifically, the feature allows the executive to set spending limits, approve purchase orders (P.O.) over these limits, manage MRO purchasing and bidding, and set-up a hierarchy for approvals and controls. It also provides aggregated reporting for all properties.

“This new function was developed to give corporate officers and regional managers more control of the properties under their direction,” states John Lie-Nielsen, president of HandySource. “Through a variety of user spending limits and automatic routing checks and balances, users will have the tools necessary to manage the site more effectively.”

The Corporate Hierarchy feature allows the officer or manager to establish spending limits for each employee in the company, which can be based on a specific dollar amount per purchase order, or by acceptable variances over the monthly or year to date budget for specific GL code or GL code categories. If an employee attempts to submit a P.O. that will exceed his/her spending limits, he/she is notified of the overage and is requested to modify the order to get under the limit or submit the order to the next higher manager in the hierarchy for approval.

That manager receives an e-mail message that a pending order is awaiting approval. Once logged in the HandySource site, the manager can approve or disapprove the purchase request and provide text explanations to his/her reasoning. The spending limits can be applied not only to property managers, but to regional managers who manage larger geographic areas, such as states and regions, for monitoring.

“Budgets and deadlines are often missed because executives and regional managers didn’t have a control device in place to monitor the properties,” states Lie-Nielsen. “Now from anywhere they can obtain an Internet connection, they can approve purchase orders that otherwise would be sitting in their office awaiting action.”

The Hierarchy function also allows higher level managers to manage the purchasing of a specific property under their supervision “by proxy” whenever that site’s property manager cannot do so themselves, such as going on vacation, sick leave or other personal matters.

The new reporting function allows corporate executives and/or regional managers to view either summary or detailed variance report. In the summary report, executives can view a line-by-line account of each GL code and where that code stands against the monthly or yearly budget. The detailed report allows the executive to get specific information about a particular site’s, or region’s, purchasing record by GL code. Detailed reports can be created to show all vendors versus specific ones, historical views versus current buying patterns and month-to-date versus year-to-date performance criteria.
